AI-assisted data retrieval

Ask your business a question. Get the answer, with the source.

A property company's answers are buried in years of email, thousands of files and its property management system. We built an AI layer that reads all of it, in place, so the owner can ask a question in plain English and get a cited answer in seconds, without paying for expensive system add-ons.

The problem

Finding a utility bill, a vendor's insurance certificate or the history of a tenant issue meant digging through inboxes and folders, or asking someone who might know. Pulling the same data out of the property system through its paid interfaces was costly.

How it works

  1. Connect what you chooseThe owner picks which mailboxes, folders and property records are in scope. Nothing else is visible to the AI.
  2. Index in placeDocuments and email are read where they live and indexed into a private knowledge base hosted in Canada.
  3. Ask in plain English“How much did we spend on plumbing at this building in Q1?” The answer comes back in seconds.
  4. Check the sourceEvery answer lists the documents it used. One click opens the original.

What it does

Cited answers

Answers grounded in your own documents, with links to every source, so anyone can verify them.

Email, files and records together

Outlook, OneDrive and property management exports searched as one body of knowledge.

You decide what's in scope

Add or remove mailboxes and folders at any time; personal mail and folders are never included.

Audit log

Every question, answer and document the AI read is logged, so the owner can trace any result.

Hosted in Canada

The private knowledge base runs in a Canadian data region, limited to the sources the owner chooses.

Drafts, never sends

The AI can draft a reminder or a summary; a person reviews and sends it.

Works with

Built around the tools the team already used, not in place of them.

  • Microsoft 365 (Outlook, OneDrive)
  • Microsoft sign-in
  • Yardi exports
  • Claude AI
  • Canadian-hosted knowledge base

Safeguards

  • Data stays in the systems where it already lives
  • Knowledge base hosted in Canada
  • Never sends email, moves money or changes records on its own
  • Every AI action recorded in an audit log

Could this work for you?

We build each one around the business using it. It's a good fit if…

  • Your team spends hours finding documents and email history
  • Answers about your business live in a few people's heads
  • Getting data out of a core system costs more than it should
  • You want AI on your data without moving that data somewhere new

Questions

Does our data leave our systems?

Documents stay where they are. A searchable index is built in a private knowledge base hosted in Canada, limited to the sources you choose.

What if the AI doesn't know?

It says so, rather than guessing. Usually that means the information isn't in scope yet, and you can add the source.

Which systems does it work with?

This build uses Microsoft 365 and scheduled exports from the property management system. We connect to most systems with an API, exports or email access.
