Deficiency tracking with CompanyCam

From the field to the office to the customer, every deficiency closed out.

Deficiencies get found in the field, fixed by the crew and reported to the customer, often through texts, photos and spreadsheets that never line up. We built a reporting and task system that connects all three: technicians report from their phones, the office reviews and notifies the customer, and everyone tracks each item until it's closed.

The problem

Deficiencies lived in photo rolls, text messages and spreadsheets. The office couldn't say how many items were open, customers didn't know what was fixed, and photos in CompanyCam had to be matched to items by hand.

How it works

  1. Report from the fieldA technician photographs the deficiency, tags the location and issue, and submits it to the office from their phone.
  2. Office reviewsThe office sees every new item, sets priority, assigns it to the right person or trade, and adds context.
  3. Customer is notifiedThe customer gets a clear update on what was found and what's being done, without a phone call.
  4. Track and closeOpen items stay on everyone's list until they're fixed, photographed and closed, with a full history.

What it does

Field reporting on any phone

Photo, location, issue and notes captured on site in seconds; nothing to install from an app store.

CompanyCam sync

Everything captured in CompanyCam appears in the matching synced project, so crews keep using the app they know.

Customer notifications

The office sends customers clear updates and status reports straight from the system.

Open-item tracking

See every open deficiency by job, area, person or trade, and close items with before-and-after photos.

Task management and reporting

Assign, prioritize and report on work, with PDF and Excel exports for customers and trades.

Roles and multiple jobs

Office staff, field technicians, trades and customers each see what they should, across every active job.

Works with

Built around the tools the team already used, not in place of them.

  • CompanyCam
  • Customer email notifications
  • PDF and Excel export
  • AI assistant connector (MCP)

Safeguards

  • Customers only see the jobs they're invited to
  • Every report and change is tied to the person who made it
  • Office admins decide what each role can see and do

Could this work for you?

We build each one around the business using it. It's a good fit if…

  • Deficiencies or punch lists live in texts, photos and spreadsheets
  • Your office builds customer status reports by hand
  • Your crews already document work in CompanyCam
  • You need to know, at any moment, what's open and who owns it

Can customers see progress?

Yes. The office notifies customers and can share live status and reports for their job.
